Are you working on JP's request? I am in a different email chain where I am being asked to pull the same data
Ah…. Well, I had it started because for the NEC project I wanted to see where we were starting from. I can finish what I have started and then share it with you and we can maybe assess from there?
Either way. I just don't want to duplicate efforts. From what I am reading, they want a list of all Flatirons clients across all case types. I can get that data, but we don't have matching DL numbers for all of them. That would be the part I would need your assistance with
Awesome yeah if you want to provide the flat irons piece, I’ll get the export of the converted leads from salesforce with the applicable data and we could run the vlookups. They have 277K leads so I need to pair that down.
I can already say now that we are going to see duplicates spread out over a single law rule ID. When we send them converted leads, they use that single email address on all completed intakes for any individual case. So like an NEC case, it will have three intakes for the parents and child as well as three accounts and they’ll all have the same email
Oh, that sounds somewhat complicated. I am getting you all of the Flatirons client data on our end right now. To match them up, I have first name, last name, phone, address, email, DOB
Awesome OK. I have been concatenating the first name and last name, phone and email for the vlookup but also doing one with just email.
Yeah. The email can be complicated if there are multiple files with the same representative (NEC, Camp Lejeune), but we can dig into some of them if need be
I pointed out to them last week that they had created many duplicate NEC cases. I wonder if that’s what prompted this.
Before you run that, is there a possibility of adding the case type name to it as well. Or campaign whichever. They don’t have very good naming convention on their case types in salesforce and so we may have to cross reference.
Yeah. I have the case type name and status on there as well. I am using all data through the end of the day yesterday.
Copy that. Perfect. There’s no reason for us to put all 277,000 accounts in our V look up from salesforce I’ll be able to whittle it down
I have 5 cases that are off from the dashboard by 1-3, so I am checking those to make sure that they are good and not missing anything and then I will share it with you
This is what I have for all of the clients in all of the case types
How can I assist in getting this matched up? Do you have a report you want me to use and I can take some of the case types and work on those?
Yeah, I’ll run that query here in a bit. I just started a meeting with Abe.
I just now finished locating all the case types so I’m about to run the query and pull the data.
Were missing too many. I added 'referred by shield legal' but maybe I need to remove that
Yeah. I got 2 other projects dumped on me. I can't go through that many manually
I’m finding a lot of duplicates so they have a lot of user error happening. They were probably mislabeled. When I run it based on just finding the emails it finds many more.
Ok. I found a lot of duplicates in their daily medical records report, also
Do you need anything from me for this? I've got 3 going through the med records data and another person and myself going through the secondary interview data for Flatirons so we can update everything that hadn't been getting updated.
But I will have one of my late people to spare once they are done with med records
No, I don’t need anything from you on this. I found all the case types. It’s just a matter of getting the data out. I tried to shrink the data set too small and I think I got too specific. I’ll be done with this within the hour.
I have to get this data import done for them before they run their reports at 9 PM. I can help once I get done with it. Do we need this tonight?
Just got to the point where the data import became a priority now
Yeah, I gotta start on this. It’s going to take me a few hours.
I don't know. They didn't say when, but Abe sent me a separate email asking for an ETA on this reporting earlier today and I told him we would have it in today. I can let him know it will be in first thing in the morning if needed. Let me check with my team and see where they are at with their tasks and how close to finishing they are
I’m thinking the 40 are likely misidentified case types. If someone can look through that page I added and find out what the 40 emails are that are missing and send that to me. I can just run them against the database and find where they have been placed
Yeah. Esteban will be done with his task in about 20 min and he has volunteered to look into those 40
OK, I’ll be on here at least till eight or nine so tell him to reach out. I just need to get started on this import.
Ok. I found that there are a lot more "missing" match ups since there were duplicate lead IDs in the matching you did. I tried to sort the sheet but then it broke the reference on some other sheet and gave me an error.
There are 489 clients with noemail@noemail.com that are matched with the same lead ID
Missing 635 of the Flatirons clients being matched up. I will have someone work on this and notify Abe that it will not be completed today
Hey, good afternoon. I just shared with Esteban, the latest export of DiCello Levitt case IDs that match an intake with our law ruler ID from the list you shared yesterday. I think we matched every single law ruler ID with the DiCello Levitt case ID. However, because some of the intakes are repeated in the list, I wonder if Esteban is getting confused thinking they are duplicates. Each line represents a matter ID so we should expect to see some duplicates if the intake was involved in more than one matter. Or I could be wrong and he understands all of it, but I just wanted to add that and let you know I’m here if you have any questions.
I am not sure. I am training on something else right now but I can check in after
That's awesome that you guys were able to match them up! Have you sent the final report over to DL?
No, I didn’t wanna share it until I reached out to you
Ok. I spoke with Esteban. He is going through all of the Flatirons clients and matching up the lead IDs 1:1 to make sure we have everything. He said he's found most of them but there are still some he needs to work through.
Reviewing Nate's email request, he specifically asked for the attached format with the 4 columns headers on here from the far left. I highlighted them in blue. It includes all 6358 clients you shared with me yesterday. Unless it was missing some, we should be done
Yeah, that is everyone we had through EOD Sunday. So that should be good to get them the bulk of it. If they want through EOD yesterday, there will be a handful more leads
Hey, good morning Brittany. The team from DiCello Levitt is saying they are seeing some conflicts in that data that we shared. They asked me this morning if we could take another look by pulling the Dicello Levitt case numbers we have stored for the same records you shared with me. Does this make sense?
Hello! I looked back at the sheet you sent. It still has all of the duplicates that I mentioned to you with the noemail@noemail.com. For everyone that refused to provide an email and that placeholder was used, you have the same ID, despite them being different clients. This is roughly 500 of them and it is a large discrepancy.
They mentioned the discrepancy was around six or 700 so …. Ok
Do we have for those the DiCello Levitt case numbers on a record somewhere?
We have some, but not all, stored in a field in LR that gets updated manually/semiregularly. I can pull a report on it. It's a custom field in LR that is in all of the flatirons campaigns with the same custom ID
I see. I was going to compare it to the DL case numbers on the file we sent.
Hey Brittany, good morning. When you have time, no rush, can you please share with me an example of the data that you were talking to me about last week in the kitchen? Medical review data I believe. Just want to get an idea of what we’re talking about. I think it’s the same thing. I’m working on right now for Abe not sure.
Yeah. I can forward you the report we received this morning as an example. If you have some time this afternoon, we can discuss how, if possible, we can get that data directly into LR
Do you have some time to meet this afternoon? About a half hour to discuss some data from DL
Hi yeah sorry I haven’t replied yet. They actually have a duplicate problem in their environment with these medical facilities and I’ve been waiting on Abe to get back to me because I need to use these records. I have some design work to do this afternoon. What’s the earliest you can meet?
Thank you. At this point, we just need a report for 2 case types to be able to match up the remaining clients we are missing
Hey do you. have 10 min this morning to clarify something for me on NEC. Abe is waiting on an answer and I want to make sure I'm correct
I am in a meeting now and then I can give you a quick Slack Huddle
I jus t saw Abe's latest request. I shared this master list with Nick and Dustin today. Its ALL DL Case numbers matched to the PII of the intake. They're in the process of cross-referencing Law Ruler IDs. Might help you now.

I included you on an email chain where Abe is asking for us to get all of the Flatirons updated by Friday. I don't want to speak for you. Can you take a look at it? Flatirons Medical Record Tracker - 04092025 is the subject line
Yeah I should have messaged you already. I'm almost done with it. Will be done by EOD. I have a few I'm still trying to tack down in Law Ruler though.
Awesome, thank you! Esteban has found most of the 82 Abe is talking about in his email already
I just spoke with Esteban and he will send over what he has shortly. Looks like there are 25 that are not duplicates and the rest seem like they might be dupes
Hi Brittany. No I’m actually on PTO. Whats up
