@Cameron Rentch @deleted-U04HFGHL4RW I have isolated the non- matching retainer and case type by verifying retainers vs case type on the Intake leads.
The case type is Illinois Juvenile Hall Abuse - Dicello - BG/Flatirons NC (TIP) - Shield Legal The retainer changed on 6-21-2024 to include the DL conflict waiver. When that retainer was changed, the case type remained Dicello/BG Flatirons. We have 30 e-sign finals from that case since 6-21 in addition to every lead in that case type that is still active and still has the non-matching retainer. I have corrected the weekly BG report for this week and will verify and correct the August and July billing statements for that case type.
Most importantly, we need to rectify the existing retainer/case type non-matches.

In the meantime, we need to have the existing MRT team work with Abe and Shan on NON Flatiron cases, keep track of their work(ie weekly how many records pulling Flatirons vs NON Flatirons and then bill accordingly.
We also need to have 5 CSP's assigned to DL only cases as well for a time period where we will bill them accoridngly as well.
Also, Alan, we need to get Abe an estimate of the cadence and time it takes to pull military records.

The first tab is a recap and the following tabs are the Intake Finals with the MIA's highlighted. Each tab is a LAW Firm listed on the ACTS MIA list. There also are 2 listed on the MIA list that are Signed and Declines that are still being pursued. Hope this helps....

As a point of note, 72% of all MIA's came from 2022 and 2023 Intakes prior to having a VSS team. This presents us with a unique problem of locating these people after being MIA for over a year. I am now subscribed to both TRUEPEOPLESEARCH and SPOKEO to attempt to locate new contact information for these individuals in hopes of completing their documentation. We will include this information in our MIA bi-weekly report and update found new contact information in Smart Advocate and Law Ruler. This a far from good news I am aware, however knowing the facts of what we need to accomplish will motivate our solutions.

@Cameron Rentch Post Acquisition Holiday schedule - We will be open from 6am - 3:30 pm on Wednesday. There is only 1 CSP with a PTO request for that day. We will be fully staffed on Wednesday . Friday we will be open from 6am - 4:30pm. We have 3 CSPs and 1 VSS with PTO requests for that day. The holiday requirement that people need to work the day before and after the holiday to be paid holiday pay, has helped tremendously to maintain our teams during the holiday. I will be at the office all day both days if needed
Intake is open from 6 am to 3:30 on Wednesday with 3 people requesting off. Friday we are scheduled from 6 am to 4:30pm with 4 people requesting off. Sat and Sunday is our normal staff with the normal schedule of 8 am to 4:30 pm

The first column reflects the ACTS MIA 10-2 status as of October, while the next column shows our current progress. Additionally, I have calculated the Fallout % for the same dates. To date, we have addressed a total of 137 make-goods, demonstrating significant improvement in Fallout %, which has decreased from 35% to 21%. We continue to work diligently with our PI to address the remaining balance, but I wanted to highlight the progress made in this challenging process. A special acknowledgment goes to VSS Traci, Ralecia, Legal Assistants Mel and Rachel and especially our amazing PI Jordan for their outstanding contributions to this effort.

Part of the big issue is lack of bodies in seats after 2:30, and lack of working after 5. We are not maximizing out time in the day at the office.

This is very new technology that is designed for the cellular network. The old CNAM platform is no longer working correctly. This new technology comes from the CTIA which is the governing body of the Cellular Telephone industry.
I am aware of that. Joe is on top of this and connecting directly with carriers. 5-9 has integrated technology related to this as well.

@Cameron Rentch @deleted-U04HFGHL4RW After verifying the MIA list for CA JUV Hall Flatirons, I did discover a few discrepancies. There were 5 cases that are closed in Smart Advocate but still open in Law Ruler. I have attached their drop letters to this message and have emailed them to Luis to update the Intake status. I also discovered two completions that were in the incorrect status in Law Ruler. I have updated both of them to completed status. The bottom line is the 45 MIAs from my earlier report is the correct number. I have attached the specific numbers that will be reflected in the Benchmark report, once all statuses have been updated. After the Fact Sheet is completed, we do not maintain regular communication with the team and therefore are not notified when cases are subsequently closed. We identified the closed cases last night while investigating individuals whose records had not been completed in Law Ruler, not by a notification from ACTS.

We need ACTs to provide updates they need to understand we are responsible for tracking and reporting progress on DL Flatirons claimants. I would like you to get a report to ACTs copying Danny, Boris and me and explain we need updates.

@Cameron Rentch @deleted-U04HFGHL4RW It is concerning to hear that the AWKO NEC issue was raised in the morning meeting and implied to be a failure of the Post-Acquisition team. For clarity, when this campaign was launched, Carter and Nick stated that the DL MRT team and the DL CSP team would be responsible for managing the project. I consistently raised concerns that this was not the case until we met in your office, where you confirmed that the DL teams would not be handling the work. Since then, I have assumed full responsibility for this campaign, including training the ASA team to conduct secondary interviews and training the Legal Assistants to manage medical records requests for AWKO—without additional support. To suggest that the Post-Acquisition department mishandled this campaign is inaccurate. In reality, our team has been working to stabilize and salvage the project, which was launched under incorrect assumptions that have since been addressed.
