I apologize for not having that already, I am working on it but every time I start, Ryan has a new "TOP PRIORITY" project that he has me do instead 😆

Rose Fleming (rose@accountingdept.net)
2025-03-13 13:26:21

No problem. I just don't want to be a pest. I am not very proficient with Slack so I keep missing stuff!!

You're golden~ Are you in the HR area? If possible I can swing by and explain a bit, and you can explain exactly what it is you need just so I make sure I get it right the first time around

Rose Fleming (rose@accountingdept.net)
2025-03-13 13:30:31

Yes I am near HR/payroll. You can come by anytime - just let me know so I can let you in since our section is locked.

Hi Just checking on the status of the talk time amount in the dash.

James Turner (jturner@shield-legal.com)
2025-03-14 14:22:58

Hey there~ late yesterday I sent a link to an excel sheet for the Five9 talk time in the chat and tagged you 😊

James Turner (jturner@shield-legal.com)
2025-03-14 14:32:37

Slack is funky let me see if I can find it

Rose Fleming (rose@accountingdept.net)
2025-03-14 14:33:40

Yes I got that. I wasn't sure if that was final confirmation that the numbers in the dash are good to go. Wasn't sure if it was just a progress update of if t was the go ahead to record talk time

James Turner (jturner@shield-legal.com)
2025-03-14 14:34:53

Ah, gotcha- So that is the total talk time out of Five9 only. Part of the way through febuary we switched to Five9. Let me check on something real quick ^-^

James Turner (jturner@shield-legal.com)
2025-03-14 15:11:09

What is the talk time for Febuary on your sheet?

Rose Fleming (rose@accountingdept.net)
2025-03-14 15:19:03

Talk time fees for Feb 2025 are $128,791.38

James Turner (jturner@shield-legal.com)
2025-03-14 15:19:20

What about the value that shows how long we were on the phone?

I am back today if you want to stop by

James Turner (jturner@shield-legal.com)
2025-03-17 12:05:41

Hey there, so I discovered that the talk time might of been calculated wrong entirely this whole time. I have a meeting with Cam about it today

Rose Fleming (rose@accountingdept.net)
2025-03-17 12:12:11

Oh cool! So you want to go over it later today once you've gone over it with Cameron?

James Turner (jturner@shield-legal.com)
2025-03-17 12:13:08

Sure thing. I just looked and it appears that someone changed all the numbers over the weekend? If I recall febuary was 90k minutes right?

Rose Fleming (rose@accountingdept.net)
2025-04-14 14:32:48

HI James! I am back on this talk time thing again! Can you let me know why the talk time fees with the prior software were calculated differently than they are now with Five9? I need to explain to my boss why the significant change but I am honestly not sure how the reporting is different than previously.

Hey there, I reached out to Brian and got that new field put in~

Hey there~ I was wondering if you could take a look around at the Other Revenue page on the retool and let me know what that looks like for you??

Hi James! I will I promise! Just got back from vacation today so am trying to get caught up with everything!

James Turner (jturner@shield-legal.com)
2025-05-12 17:09:13

No worries at all~ the TLDR is I'm trying to build a system to keep track of all of the the weird "catchall" revenue that we have and since you and your team would be the primary users, I wanna make it as intuitive as possible for yall'

Rose Fleming (rose@accountingdept.net)
2025-05-16 12:49:46

Hi James. Is "other revenue" not revenue from clients/law firms? We don't get much outside of some small bank interest.

James Turner (jturner@shield-legal.com)
2025-05-20 11:59:10

Hey there~ I was out Friday/Monday so apologies for the delayed response!

Other revenue is anything that is not from a lead directly. The example that Ryan gave was we get income from hiring certain people and having the law firms pay their salary but we manage and "house" them here so we get a certain amount of it.

Rose Fleming (rose@accountingdept.net)
2025-05-20 13:42:37

Oh that makes sense. That revenue is on TIP, though so doesn't get reporter through Shield.

👍 James Turner
James Turner (jturner@shield-legal.com)
2025-05-20 13:56:29

Gotcha' Ryan requested that I add the "Other Revenue" section and used that as an example, but did not specify exacts. I believe it's going to be for TIP but if you can, please set up a sync with him to get the exacts for what he wants on that vs other sources.

Rose Fleming (rose@accountingdept.net)
2025-05-20 13:57:14

Sure

Rose Fleming (rose@accountingdept.net)
2025-05-20 13:57:19

Thanks so much!

James Turner (jturner@shield-legal.com)
2025-06-09 11:49:49

Hey good morning! Ryan has requested that I ask you to make sure you fill out all of the staffing revenue on the ;Other Revenue' page here

Rose Fleming (rose@accountingdept.net)
2025-06-09 12:00:18

Hi James. I am not sure what you are asking me to do or what section I am supposed to fill out. Staffing rates come from payroll. Also, when I tried to enter the usual activity for April 2025 I wasn't able to select that month - it only goes up to 03.2025

James Turner (jturner@shield-legal.com)
2025-06-09 12:30:30

I'll dig a bit deeper with Ryan- thanks for letting me know. I wasnt sure if he talked to you about it

James Turner (jturner@shield-legal.com)
2025-06-10 12:12:18

I recommend reaching out with Ryan directly for the 'Operating Expenses' page issues, since Brian made that one. My current understanding is that we are splitting out agent commission from the rest so it can be tracked separately.

James Turner (jturner@shield-legal.com)
2025-06-10 12:15:13

For the 'Other Revenue' Page, I believe that ryan wants all revenue on here for things that aren't tracked anywhere else. For example, it is my understanding that some companies pay us to manage and 'house' (office ig?) their employees here at TIP and we are paid for that. Here is a 60sec video showing how this dashboard works

Rose Fleming (rose@accountingdept.net)
2025-06-10 12:45:16

I am concerned that we are going to start double counting items now. On our financials we track revenue as one line item for all activity that has been invoiced out and we have received payment for. We don't separate on the books revenue for x campaign, revenue for these 6 employees, revenue for ABC law firm - it's all 1 total line item at month end. Anything that is other is usually bank interest or a tax refund from prior year or something random that isn't related to invoices.

James Turner (jturner@shield-legal.com)
2025-06-10 12:47:55

Go ahead and toss that into the finance thread and tag Ryan so he's aware

Rose Fleming (rose@accountingdept.net)
2025-06-10 15:27:43

Was there some type of training that I missed or something? I am not entirely sure how to fill out these new things (I watched the videos you sent but am not sure what data I provide and what data comes from somewhere else). Also, I am concerned that we are double counting in some areas. As ypu have been the most communicative with me can we go over some stuff sometime next week maybe?

James Turner (jturner@shield-legal.com)
2025-06-10 17:50:38

To be honest, I'm not 100% sure where the data would be coming from. Ryan Requested I build the "other revenue" tool, and told me it was for all "other" style revenue such as staffing income and if I told you, you would understand. I reached out to Ryan privately and requested that he have a call with you directly to ensure it moves in smoothly.

Rose Fleming (rose@accountingdept.net)
2025-06-11 08:37:56

The more I thought about this overnight the more I realize what I think he means. "Other revenue" is probably just not the correct wording for what he means. I think...

Rose Fleming (rose@accountingdept.net)
2025-06-11 08:38:41

Gonna try to work through it today - I hope I don't fill it out wrong - wish me luck 🙂

James Turner (jturner@shield-legal.com)
2025-06-11 11:55:19

Sounds good~ Let me know if you have any questions on how the tool works.

Did Ryan ever reach out?

Rose Fleming (rose@accountingdept.net)
2025-06-11 11:59:59

Just got off a meeting with him and the bosses. Thanks for always being available! I appreciate that you don't ignore me 🙂

Rose Fleming (rose@accountingdept.net)
2025-07-10 14:18:26

Hi James! Sorry for the question - not sure who to ask so please let me know if I should direct this question to someone else. My boss is asking me since we are now using Five9 which is providing more accurate data, etc why it's 2 weeks into the month before call center costs are finalized? I am not sure what the process is so I don't know how long it should take - I imagine there is reconciliation time involved...

James Turner (jturner@shield-legal.com)
2025-07-10 16:09:34

Hey there' So what I do is track the minutes, but Ryan and other leadership will change the price per minute on the fly

James Turner (jturner@shield-legal.com)
2025-07-17 17:16:39

Hey there- Question for ya.. I wanted to verify with you if we do, or do not include the agent commission when we put in the 'payroll expenses'?

to explain further: I am seeing we have a column named 'aggregate payroll expenses' which is created by filling in the red square, and another column named 'aggregateagentcommission' filled by the blue square.

Rose Fleming (rose@accountingdept.net)
2025-07-17 17:18:07

Oh wow! You just reminded me that I didn't do this for June!!!

Rose Fleming (rose@accountingdept.net)
2025-07-17 17:18:43

I don't remember since this is still kind of new. Let me work on it and I will let you know early tomorrow

James Turner (jturner@shield-legal.com)
2025-07-17 17:19:04

Sounds good- Happy to help one way or another haha

James Turner (jturner@shield-legal.com)
2025-07-17 17:19:42

If you get the chance, also please fill out 2024-12-01 and 2024-11-01 because it looks like those got left out as well somehow

Rose Fleming (rose@accountingdept.net)
2025-07-17 17:34:29

Oh sure I can add that in. Will do tomorrow morning I promise

Rose Fleming (rose@accountingdept.net)
2025-07-18 12:01:12

Hi James - payroll expense does not include agent commissions. So there is no double counting in this situation.

Not a request to do it, just wondering about timeline so I can get my understanding aligned

For the expenses dashboard retool thing, When do you normally fill in a month? For example, I imagine it wouldn't make sense to do july right now because we are still finalizing, but at what point would June get filled in?

Or does it change every time?

I am usually waiting on call costs so I can enter into out financials. Lately it seems like those are finalized around the 10-12 of each month. So then it usually takes me a day or 2 to complete and review our financials after that. So the soonest I can get ReTool info in is about the 15th. I know that will change once the new procedures to finalize call center costs becomes faster.

Rose Fleming (rose@accountingdept.net)
2025-08-19 12:59:58

HI James, There still isn't June 2025 and July 2025 for me to select in operating expense in the ReTool app. Is this on hold while you work on it? I just don't want to hold up anything but I can't enter them right now

James Turner (jturner@shield-legal.com)
